**Terms and Policies**  

**Loc Repair Clinic at U Natural Hair Dreadlock Services**

Welcome to the Loc Repair Clinic! We are dedicated to providing exceptional services to help you achieve and maintain healthy, beautiful dreadlocks. To ensure clarity and mutual respect, and avoid miscommunication, please review the following terms and policies regarding appointments, payments, cancellations, and other important information.  

Your locs are important to us!

### **Scheduling and Appointment Terms**  

– **Booking Process:**  

  All clients are required to obtain a quote before scheduling an appointment, especially first-time clients. This ensures that we fully understand your needs and can prepare accordingly.  

  Appointments can be scheduled through our self-booking system for your convenience.  

We offer self booking to make sure we meet your expectations in the timeliest manner while also being prepared ahead of time. 

If we find that you need more services done at your scheduled appointment than quoted for, you have the option of splitting your services up to handle a part of the quoted services needed at the current appointment and you can schedule a later appointment to complete that service within 2 weeks, otherwise, it may change or more repairs may be needed as time goes on. We want to make sure it doesn’t  get worse if you wait longer than 2 weeks to complete the full list of loc services needed.

Appointments scheduled over 8 hours will be scheduled in multiple days.

– **Deposits:**  

 All bookings are accompanied by a requirement to pay an applicable deposit.  The remainder of the predetermined balanced is due at the appointment but can be paid ahead of time with receipt of payment to show your balance is already settled at appointment time. Payments of deposits may be executed by the convenience link provided at booking or by visiting the shop to validate the existence of our salon and schedule in person. In the event the appointment is cancelled after full payment, based on when the appointment was cancelled or rescheduled, the deposit may or may not be deducted from the refund.(See Cancelling and Rescheduling policies below)

 Clients without a digital payment method for deposit can also contact the shop for same day service, avoiding a payment of deposit entirely.

 

– **Chair Fees for Small Appointments:**  

  Small appointments with a slot time of 30 minute intervals requires a $25 chair fee because of the scheduling process of every client. The cost of servicing every customer is taken into account. Thus the deposit held still applies to securing a slot.

### **Cancellation and Rescheduling Policies**  

– **Refunds and Credits:**  

  Cancellations made within the specified timeframes are eligible for a refund or credit toward a future appointment:  

  – **72 Hours (3 Days):** Loc Maintenance, Loc Starting, Loc Conversion, Loc Styling.  Ex. If you cancel the appt originally scheduled on the 5th of that month, then you must cancel or reschedule before the 2nd of that month or your deposit is forfeited. 

  – **1 Week:** Loc Extensions, Extending Locs, Loc Attachments, Moderate & Major Repairs.  

Ex. If you cancel an appt originally scheduled on 14th anytime after the 7th of that month, your deposit is forfeited. 

  – **2 Weeks:** Bald Spot Coverage.  

Ex. If you cancel the appt scheduled on the 25th of the month anytime after the 11th of that month, your deposit is forfeited. 

– **Same-Day Cancellations and No-Shows:**  

  Cancellations made on the same day or failure to show up for an appointment will incur a fee of 25% of the quoted service price. This fee is non-refundable but can be applied to a rescheduled appointment.  

If an appointment is cancelled same day or a no show occurs, where a deposit was not paid, a deposit is required to reschedule. Deposits can be paid in person.

Customers with no card must schedule their next appt with deposit at time of current appointment in person to enforce self booking.

### **Payment Terms**  

– **Payment Methods Accepted:**  

  – Cash  

  – Cash App, Zelle, Chime, Venmo

  – Apple Pay

  – Debit/Credit Cards  

  – Bitcoin (specified at the time of the quote)  

  – Barter (specified at the time of the quote)  

– **High-Ticket Services Payment Options:**  

  – Layaway  

  – PayPal Later  

  – Afterpay  

  – Klarna  

  – In-House Financing  

– **Payment Collection:**  

  Deposits are collected for each service  are subtracted from the total cost, except the extended locs service where hair deposit is purchased separately from  install fee. Deposits maybe paid by link or in person at the shop. The remainder of the bill is due at the halfway point for your session for all sessions over $200. There is a mirror available during the entire process of your appointment. We also provide an example loc as well as a photo/video during the session to show your progress and make any more adjustments so that you end up with the style you chose or what your locs can allow after communication from the loctician of why something cannot be done at that time.

On the day of appointment, balances due for services over 200.00 will require the payment to go through either Cash, Zelle or special made link at appointment to use card. Please do not attempt to charge your balance to previous deposit payment links.

Balances over 200.00 and due at appointments are handled differently than deposits. 

If a payment needs to be made by debit or credit, fees may be added to cover the transaction fees of the processor for that  balance. If paid by cash, Zelle, Apple or Cash App, we will not charge you for transaction  fees associated with your balance.

### **Service and Hair Disclaimers**  

– **Texture Considerations:**  

  Hair texture can impact the outcome and maintenance of dreadlocks. Services like instant locs may vary based on hair length, texture, and density.  

For Instant Locs:

If Hair texture is straight/smooth, silky, soft thin or fine, locs will be soft and may be prone to “undoing”. This can apply to most loc services according to the hair textures stated above. 

Natural instant locs may be uneven at install because your hair is different lengths around your head, especially around the edges. Instants can be washed but will soften. Instant locs do not automatically include extensions. Instant locs must be maintained. Maintenance level must be adjusted accordingly to the client’s needs and goals.

Textures are different so everyone’s situation is different.

Maintenance care can vary for each client

Time varies often for repair.

Breakage levels, strength of strands, environment habits, coil patterns, moisture content, all varies according to the individual. 

– **Extension and Repair Maintenance:**  

  Extensions and repairs require adherence to a maintenance schedule. Failure to maintain can result in issues such as thinning, breakage, or sliding extensions.  

Not sticking to the maintenance schedule results in more repairs to the locs. Scheduling appts too early and too late can cause:

-breakage

-thinning at root

-thinning along the loc

-weak spots

-sliding or sliding off extensions

-bulging extensions

And other problems

If you purchase a different type of locs such as European, and you have Afro textured hair, the locs will not be correct and seamless, so we provide loc extensions custom to match your hair.

Hair colors may vary, even when the same number, companies that dye can occasionally sell slightly darker or lighter if the specified number. To avoid different colors when Repairing, we have on hand, the exact color your extensions were installed for future use in case you need replacement locs or repairs.

Loc extensions that are blended in with your hair as a different color requires more skill/work to achieve a blended look so that it looks natural, additional fees may apply due to the extra time it takes to install. 

If the maintenance schedule provided, is not kept, loc extensions can bunch, slide or fall off on some hair textures. 

For loc extensions hair that is colored and over-processed and comes in pieces can prolong the locking process. 

 **Wick Locs:**  

  Wick locs may separate over time and require periodic maintenance to ensure they remain intact.  

Wicks that are made from combined locs, may separate at the ends, even after a loctician has properly joined them. If your texture takes a bit to join, this could be because your strands need time to come together permanently.

Maintenance may be needed several times to completely join the loc using just your strands. 

The longer your wicks get, the price adjusts to compensate for time and labor increasing over time. 

**Loc Repairs**

Even though repairs can be made, repairs can also become undone without proper up keep. New repairs must be monitored to make sure the locs remain healthy and attached. If you get a repair and wait several months, sometimes even 6 weeks for maintenance, your repair can get weak and fall out. 

Proper maintenance avoids repairs in the firat place, however, it can be hard to figure out what proper maintenance is for your particular hair type and habits. Over time, you would adjust your maintenance  schedule to fit your needs and habits. 

**Loc Styles**

Styles should not be in for more than 2 weeks. Styles tend to pull locs at its roots potentially causing thinning. If the locs are always put in a style, the locs could choke and thin out due to constant manipulation.

**Disclosure and Consent for Media and Internet Use:**

   – Clients at appointment time signs a disclosure form allowing or disallowing the session to be recorded (with or without  their face excluded).

   Videos/Photos with clients faces exposed will not be used without the client’s permission. 

Clients personal information and data will not be used for public sell or use. Clients date is upheld by our privacy policy. All client information is confidential and exclusive to matters associated with client’s  appointments only.

**Consultation Terms:** 

Quotes are valid for 30 days and are required to book an appointment. 

The most valid type of consultation because we can see what needs to be done right in front of us. The quote is given for the consultation before an appointment can be scheduled. Appointments can be same day except if a client is already scheduled then the appointment must be scheduled for  future date.

  **In-Person:** The most accurate method for assessing your needs.

  **Online:** Estimates based on photos/videos are subject to adjustment upon in-person evaluation.  

Subject to adjustments due to the information entered and the photo/video limitations. Photos/Videos may be dark, fuzzy and/or choppy. We use photos and videos to attempt to give an estimate of the appt, however, things not seen until chair time may be discussed as an option to add on or fix the online quote once seen in person.

***Handicapped and Disabled Clients**

We aim to please every interested client. Clients who need special care will not be turned away because of their needs. However, some shop areas cannot accomodate some types of disabilities. If we are able,  we are required to attempt to provide services on location as a mobile service if applicable to satisfy the needs of the disabled client. Ask about our options. 

### **Allergy and Product Disclaimers**  

We prioritize using safe, quality products. If you have known allergies or sensitivities, please inform us before your appointment. We do not use products containing alcohol, petroleum, beeswax, or heavy oils.  

**Product Recommendations **

Recommendations to use or not use is not medical advice, only suggestions to help improve your locs. After we have serviced you the first time, we can monitor what happens and offer suggestive advice to help you choose products better. Clients may also receive jumpstart products along with their major loc service to help learn how to maintain locs.

### **Guarantees**  

For the following service types, there is a 14 day guarantee for free restoration of the service should the locs become undone, fall out bulge or anything related to a mishap on the part of the Loc Repair Clinic. After the 2 week period, regular charges may apply.

If any occurence happens, we must be contacted at that time. Please do not wait until everything falls if one or two falls out or changes. The faster you contact us, the faster we can prevent the rest of the locs from doing the same thing if waiting too long.

### **Time Management**  

Dreadlock services can be unpredictable due to varying hair textures and needs. Please allow flexibility in your schedule to accommodate potential overages.  

**Clients from Outside the Detroit Metropolitan Area**

If you are planning to visit Detroit to attend an appointment session, please note that if you have a large appt scheduled and you only received an online consultation, be prepared for changes to time and cost, because we are relying only on what you know about what your locs need and relying on the photos or video sent to us, we may be misinformed until you sit in the chair to see an accurate result. We cannot determine how your hair feels and how well it locs based on the softness or coarseness of your hair. We have many years experience in rwpairs and installation but it is very difficult to determine a clients texture upon install. Make sure you are prepared just in case we may have to alter your quote for more or less service than expected. 

### **Card on File Policy**  

A card on file is required when booking appointments to protect against no-shows and last-minute cancellations. We do not charge your card without cause. If you fail to show up for your appointment or cancel on the same day, 25% of the quoted service price will be charged. This amount is non-refundable but will be applied toward your rescheduled appointment. Thank you for understanding and respecting our time and policies.

To avoid this policy all together, please adhere to reminders and scheduling terms. You can always cancel before the day of your appointment without incurring cancellation charges on the same day. We accept cancellations, by email or text only, for timed record purposes. After 12am Midnight of date of your appt, it is considered a same day cancellation. We need time to refill spots that have been cancelled or rescheduled.

Cancellations made after 12:00 AM on the appointment day are considered same-day cancellations.
